1. Who We Are
eClips Technologies is an AI product studio and enterprise systems partner headquartered in Amman, Jordan. We build and operate eClips Workforce, Nexus, Q-Core, Prism, Sentinel, Nous, Rahma, and other digital products, and we provide enterprise consulting services. This Privacy Policy explains how we handle personal information across all of our products and platforms (collectively, "Services").
2. What We Collect
We collect information you provide directly (name, email, company name, phone number, billing details), information generated by your use of our Services (usage logs, session data, API call records, document metadata), and limited technical information (IP address, browser type, device type). For our document-processing products, we process the content of documents you upload solely to deliver the requested service — we do not retain document content beyond your configured retention period.
3. How We Use Your Information
We use your information to: (a) provide, operate, and improve our Services; (b) respond to inquiries and support requests; (c) send transactional communications including alerts, approval requests, and account notices; (d) send product updates and newsletters (you may opt out at any time); (e) prevent fraud, abuse, and security incidents; and (f) comply with legal obligations. We do not sell your personal information to third parties.
4. Legal Basis for Processing
Where applicable under the GDPR and similar frameworks, we process personal data on the following bases: (a) Contract — processing necessary to deliver the Services you have requested; (b) Legitimate Interest — analytics and fraud prevention that do not override your rights; (c) Consent — marketing communications, for which you may withdraw consent at any time; and (d) Legal Obligation — compliance with applicable law.
6. Data Retention
We retain your personal information for as long as your account is active and as needed to provide Services. Audit logs are retained per the plan tier you have selected. Upon account termination, personal data is deleted or anonymized within 90 days unless a longer period is required by law. Document content processed through eClips Workforce is subject to the retention period configured in your account settings.
7. Security
We implement technical and organizational measures including encryption at rest (AES-256) and in transit (TLS 1.3), role-based access controls, regular security assessments, and audit logging of all administrative actions. No transmission over the internet is 100% secure; we cannot guarantee absolute security, but we take commercially reasonable steps to protect your information.
8. Your Rights
Depending on your jurisdiction, you may have the right to: access the personal data we hold about you; correct inaccurate data; request deletion ("right to be forgotten"); object to or restrict certain processing; receive your data in a portable format; and withdraw consent where processing is based on consent. To exercise any of these rights, contact us at hello@eclips.tech. We will respond within 30 days. If you are dissatisfied, you have the right to lodge a complaint with your local data protection authority.
10. International Transfers
Our infrastructure is hosted in cloud regions that may include the EU, US, and other jurisdictions. Where we transfer data internationally, we implement appropriate safeguards including Standard Contractual Clauses or equivalent mechanisms recognized under applicable law.
11. Children
Our Services are not directed to individuals under the age of 18. We do not knowingly collect personal information from children. If you believe we have inadvertently collected such information, please contact us and we will delete it promptly.
12. Changes to This Policy
We may update this Privacy Policy periodically. Material changes will be communicated via email or an in-app notice at least 14 days before taking effect. The current version will always be available at eclips.tech/privacy.
