Document Control

Every controlled document in Kanso carries a defensible version history and a full approval trail. This page covers versioning, approvals, e-signatures, the folder tree, and the block editor.

Versioning and History

Kanso uses major and minor versioning, so a small correction and a substantive rewrite are not treated the same way. Each change advances the version deliberately, and every controlled document keeps a complete history behind it. When an auditor asks how a procedure reached its current state, the answer is already recorded — you can trace what changed, and when.

Major versionA substantive revision, typically requiring re-approval.
Minor versionA smaller correction or clarification tracked in the same history.
Version historyA defensible, ordered record of every version the document has held.

Approvals and E-Signatures

Documents move through approval routes that can span multiple stages, so a draft passes each reviewer in turn before it becomes effective. Approvers apply a drawn e-signature, and the result is an approval trail that stands up to scrutiny.

  1. Route the document

    Send the draft into its approval route, which can carry several stages.
  2. Review at each stage

    Each approver reviews and, when satisfied, applies a drawn e-signature.
  3. Track who has read

    Read-tracking records who has read the current version, so acknowledgement is not left to memory.
Note:Read-tracking is tied to the current version. When a document is revised, you can see who has read the version now in force.

Review Cadence

Controlled documents do not stay correct on their own. Kanso lets you set a review cadence for a document, and from that it derives an automatic next-review date. The system keeps the next review in view so procedures are revisited on schedule rather than drifting quietly out of date.

Folders and the Block Editor

Documents live in a folder tree with sub-folders, and predefined tags help you organize and find them across the system. The editing experience is a ClickUp-grade block editor built on Tiptap, with a "/" slash menu for inserting blocks as you write, and Kanso AI writing assistance to help draft and refine content.

Collaboration and Controllers

Review happens in context. Comments and annotations attach to a quoted selection of the text, so feedback points at the exact passage it refers to. Share links let you extend access to a document where needed.

Responsibility is explicit. Each controlled document has a document controller, assigned to a person, to a team, or set automatically. Watchers can be chosen per document to receive alerts about it, so the right people hear when something changes.
