Documents & Approvals
Controlled documents are at the heart of an ISO 9001 quality system. Kanso gives you a block editor for authoring, versioning on every save, an approval route with e-signatures, and the housekeeping — folders, tags, watchers, and review cadences — that keeps documents current and findable.
Creating a controlled document
Write your document in the block editor. Type / to open the slash menu, which lets you insert the content blocks you need as you go. When you want a hand, Kanso AI can help draft the document for you so you are not starting from a blank page.
Organizing and finding documents
As your library grows, structure keeps it usable. Kanso gives you two complementary ways to stay organized:
- Folders and sub-folders let you arrange documents into a hierarchy that matches how your organization thinks about them.
- Predefined tags let you group and find related documents across folders.

Versioning
Every time you save, Kanso creates a version. You choose whether a save is a major or minor version, so the version history reflects the significance of each change rather than treating every edit the same. This gives you a defensible record of how a document evolved.
Approvals and e-signatures
When a document is ready, send it through its approval route. Approvers review the document and sign off with a drawn e-signature, giving each approval a clear, personal mark of authorization.

Confirm who has read it
Read-tracking shows who has read the current version, so you know the document has actually reached its audience.
Comments, watchers, and sharing
Documents are collaborative, and Kanso keeps that collaboration tied to the exact text it concerns:
- Add comments and annotations tied to a quoted passage, so feedback points at the precise wording it refers to.
- Choose watchers who should be alerted about a document.
- Share a document via a share link.
Review cadence
Documents go stale if no one revisits them. A review cadence sets an automatic next-review date, so a controlled document is never quietly forgotten — Kanso keeps its next review on the calendar for you.
