Setting Up Your Workspace

If you are the administrator who created a Kanso workspace, a few early steps get everyone else ready to work. This page covers companies, inviting your team, connectors, teams, and branding. Detailed guidance for permissions, members and teams, and connectors each has its own page in the Admin Manual.

Creating companies

A workspace can hold one or more companies. Start by creating the companies your organization needs, then switch between them as you set each one up. Because so much of what follows — members, connectors, and more — is organized under a company, getting your companies in place first makes the rest of setup straightforward.

Tip:If your organization is a single entity, one company is enough. Create additional companies only when you genuinely need to keep their quality records separate.

Inviting team members

With your companies created, invite the people who will use Kanso. Each invitation is scoped to a specific company, and you assign each person a role as you invite them so they arrive with the right level of access.

  1. Choose the company

    Switch to the company you want the person to join.
  2. Send the invitation

    Enter the person's email address and assign their role.
  3. Wait for them to set up

    Kanso emails them a join link. They set a password and complete onboarding on their own.

Active vs. awaiting setup

A member only becomes active once they have finished setting up their account — that means setting a password and completing onboarding. Before they do, they appear as awaiting setup in your member list.

This distinction keeps your member list honest: at a glance you can tell who is genuinely up and running versus who still has an invitation waiting. If someone lingers in awaiting setup, it is a signal to nudge them to open their invitation email.

Connecting to Business Central

Connectors link Kanso to Business Central and Dynamics. Connectors are scoped per company, so each company connects to its own data source. Set up the connector for a company once you have switched into it.

Note:Connector setup has its own dedicated page in the Admin Manual. This page only flags that connectors belong to a company, not the workspace as a whole.

Teams and branding

Two final touches round out early setup:

  • Create teams to group members in ways that mirror how your organization actually works.
  • Set workspace branding so Kanso looks like it belongs to your organization.
